TRIP COST AND ROUTE ADJUSTMENT
While we strive to avoid changes to tour costs and programs, we reserve the right to make necessary adjustments. Actual tour costs may vary based on prevailing rates and tariffs at the time of payment. Therefore, costs are subject to change.
All tours require a minimum number of guests to operate at the advertised prices. If this minimum is not met, the tour may still proceed with a surcharge or itinerary alterations.
Refer to individual tour itineraries for specific inclusions and exclusions. Occasionally, itineraries may be modified to ensure smooth and successful tour operations. We will always make every effort to operate tours as advertised, but itinerary variations and delays may occur due to unforeseen circumstances beyond our control. These may include, but are not limited to: weather conditions, trail or park closures, road conditions, supplier changes, meal availability, fuel costs, transportation adjustments, driver regulations, and other factors necessary for safe and efficient tour operation.
While we will provide as much advance notice as possible for any itinerary changes, we reserve the right to communicate such changes during the tour. Flexibility is essential for the type of travel we offer. All itinerary-related decisions will be made by the Tour Leader appointed by us, with the best interests of the group in mind.
Please note that due to public holidays, changes in local operating hours, and supplier availability, some sights or activities may not be accessible on specific tours. No refunds will be issued for services not utilised by you once the tour has commenced.

If we cancel a tour due to insufficient bookings (not reaching minimum participant numbers), we will fully refund your deposit or offer you the option of transferring your deposit to another tour program.

If the alternative option has a lower cost, we will refund the difference. Alternatively, we can provide you with an Unearth Adventure travel credit for the full amount you have paid, excluding any supporting trip arrangements made by you such as flights or travel insurance, as these have their own separate booking terms and conditions.
We may also offer you a full refund of all monies paid for the tour, excluding flights and/or insurance due to their separate booking terms and conditions. This refund will be reduced by any unrecoverable costs and cancellation fees. "Unrecoverable costs" refer to all reasonable and directly incurred expenses related to your tour, including payments made to other suppliers involved in your travel arrangements, which may be non-refundable."
FORCE MAJEURE EVENTS: CIRCUMSTANCES BEYOND OUR CONTROL
Unearth Adventure is committed to delivering the itineraries we advertise. However, there may be extraordinary or unavoidable circumstances, referred to as "force majeure events," which are beyond our reasonable control and could not have been prevented or avoided even if all reasonable measures had been taken. These events may materially modify or lead to the cancellation of your trip or components of your trip.
Definition of Force Majeure Events:
Force majeure events include, but are not limited to:
War, threat of war, riot, civil or religious disturbances, or acts of terrorism and their consequences
Plague, epidemic, pandemic, infectious disease outbreaks, or other public health crises (including quarantine measures or other employee restrictions)
Natural disasters such as floods, cyclone, typhoon, bushfire, earthquake, volcanic eruption, tsunami or similar extreme weather events
Severe adverse weather conditions, whether actual or threatened (e.g., heatwaves, snow, fog, intense rainfall)
Fire or nuclear incidents
Unavoidable technical problems with transport or unforeseen alterations to transport schedules
Transportation disruptions or cancellations
Domestic and/or international travel restrictions or changes to travel advisories
Changes to health advisories, quarantine requirements, or other government mandates (e.g., evacuation orders or border closures)
Industrial disputes, strikes, or labour shortages
Other extraordinary circumstances that render the trip unsafe, unviable, or impossible to proceed
Modification or Cancellation:
In the event of a force majeure situation, Unearth Adventure reserves the right to:
Modify your itinerary to ensure the safety and wellbeing of all participants. A modification may include changes to accommodation type, size, or style, or transport type, size, method, or style. Such changes are not considered material modifications.
Cancel part or all of the trip if it is unsafe, unviable, or impossible to proceed.
A material modification is defined as one that has a significant impact on your tour and causes substantial inconvenience (e.g., a change of departure date, departure point, or airport).
Responsibilities and Limitations:
Unearth Adventure will make reasonable efforts to provide an alternative experience of similar value in the event of modifications.
Where we are able to recoup costs for trip components already paid for, we will endeavour to provide a refund or trip credit for those recouped amounts. Where these costs are not able to be recouped, the standard terms of our cancellation policy will apply.
Force majeure events absolve Unearth Adventure from liability for any failure to perform contractual obligations arising from such circumstances.
Recommendation for Clients:
We strongly recommend that all clients purchase comprehensive travel insurance that covers force majeure events, including trip cancellations, disruptions, and delays, to protect against unforeseen situations.
By booking with Unearth Adventure, you acknowledge and accept the inherent risks associated with travel and agree to these terms regarding force majeure events.
CANCELLATION DUE TO EXTRAORDINARY OR UNAVOIDABLE CIRCUMSTANCES
If your tour is cancelled due to extraordinary or unavoidable circumstances (force majeure events), Unearth Adventure will provide you with a travel credit equal to the full amount you have paid. If cancellation occurs after the tour has commenced, we will offer you a pro-rata travel credit for the unused portion of the tour.
Travel credits are subject to the following terms and conditions:
Travel credit applies to the tour price only and does not include additional services such as flights, insurance, or other personal expenses.
The travel credit is non-refundable and redeemable for travel until the expiry date indicated on the credit (extensions may apply if travel restrictions persist).
Travel credits are not redeemable for cash, except in cases of demonstrated hardship or exceptional circumstances, at Unearth Adventure's discretion.
Travel credits can be transferred, in whole or in part, to family or friends.
The credit may be applied to one larger tour or divided across several smaller tours, provided all bookings are made before the credit expiry date.
Any new booking using a travel credit will be subject to price increases and the booking conditions in effect at the time of booking.
To redeem your travel credit, please contact info@unearthadventure.com with your credit details and preferred travel plans.
This policy is valid until further notice and may be modified or withdrawn at Unearth Adventure’s discretion. Additional restrictions may apply.
FEES FOR CHANGES OR CANCELLATIONS BY SUPPLIERS
In the event of changes or cancellations to bookings due to any reason, including circumstances beyond your or our control, third-party travel service providers (e.g., accommodation providers, transport operators) may impose their own change or cancellation fees. These fees can range up to 100% of the booking value, regardless of whether travel has commenced.
Key points regarding supplier fees:
Fees may apply if bookings are changed or cancelled, and can also be incurred when tickets or documents are reissued.
If Unearth Adventure incurs any liability for supplier fees due to changes or cancellations initiated by you, you agree to indemnify us for the full amount of those fees.
Refunds for cancelled or changed bookings are subject to the supplier's policies. Refunds can only be processed once the supplier authorises the refund and releases the funds to us.
Refund processing times vary by supplier and may take 12 weeks or longer.
If Unearth Adventure is still holding your payment for the affected booking, we will only process a refund upon receiving authorisation from the supplier and in accordance with their terms and conditions.
Please ensure you review and understand the cancellation and amendment policies of all relevant suppliers before confirming your booking.
TRAVEL ADVICE AND DOCUMENTATION
At Unearth Adventure, we strongly recommend consulting official government travel advisory websites before commencing your journey. For Australian travellers, the Australian government’s Smartraveller website (www.smartraveller.gov.au) provides up-to-date information on travel safety, health risks, and entry/exit requirements.
For non-Australians travelling with us, we strongly encourage you to review your own country’s travel advisory resources for information relevant to your country of origin. These resources will provide the most accurate guidance on travel safety, visa requirements, and health considerations specific to your citizenship.
While we assess travel conditions using information from government sources and reports from our local contacts, it is ultimately your responsibility to familiarise yourself with all relevant travel information. This includes understanding health risks and the specific conditions of your tour. By choosing to travel, you acknowledge that you are making an informed decision and assume all associated personal risks. Unearth Adventure, to the fullest extent permitted by law, accepts no liability for these risks.
Passport, Visa, and Entry Requirements
It is your responsibility to ensure your passport, visa, and any other required travel documents are in order.
A passport valid for at least six months beyond your return date is mandatory for all international travel.
For the latest information on entry and exit requirements for travelling Australians, visit www.smartraveller.gov.au.
If you are travelling on a non-Australian passport, you are responsible for understanding and meeting the entry and exit requirements of your destination.
Unearth Adventure is not liable for any loss or expenses incurred due to delays, failures, or inaccuracies in obtaining the requisite passport, visa, or other travel documentation. Please ensure these arrangements are finalised well in advance of your departure.
DETAILS REQUIRED FOR BOOKING
To confirm your booking, you must provide all requested information to Unearth Adventure along with your final payment, as outlined in Clause 3. Failure to provide the necessary details for air tickets, permits, or other inclusions may result in additional costs, fees, or losses, including the inability to secure those services.
If you do not supply the required information, Unearth Adventure reserves the right to treat your booking, or any affected components of it, as cancelled and apply cancellation fees deemed reasonable at our sole discretion.
The specific information required will vary depending on your tour and will be clearly communicated to you or your authorised agent during the booking process. Unearth Adventure is not liable for any fees or issues arising from errors, omissions, inaccuracies, delays, or incomplete information provided by you.
AIRFARES
Tour prices do not include international or domestic airfares unless explicitly stated in the tour description. When requested, Unearth Adventure will provide a quote for airfare based on the best available prices for your preferred travel dates at the time of inquiry. Please note that quotes are estimates only and do not represent a binding price commitment from Unearth Adventure or the applicable airline(s).
Unearth Adventure acts solely as a sales agent for the airline(s), and all air travel is subject to the airline’s terms and conditions, including their conditions of carriage. We strongly recommend reviewing these terms for detailed information on cancellations, changes, and other policies.
Unearth Adventure is not responsible for changes to air itineraries, flight times, or cancellations made by the airline(s). We also do not provide notifications or updates regarding flight status, delays, or schedule changes. It is your responsibility to monitor your air travel arrangements and ensure compliance with the airline’s requirements.
Unearth Adventure will not be held financially liable for any trip components, activities, or services that you are unable to utilise due to delays, cancellations, or disruptions caused by flights. This includes but is not limited to missed transfers, tours, or accommodation. We recommend purchasing comprehensive travel insurance to cover potential disruptions and associated costs.
AGE, HEALTH, AND FITNESS
At Unearth Adventure, the safety, well-being, and enjoyment of all participants is our priority. Please review the following conditions carefully before booking:
Unaccompanied Minors: We are unable to accept bookings from unaccompanied minors or individuals who cannot travel independently.
Health and Fitness Requirements: For our group departures, the minimum age requirement is 18. Many of our trips include visits to remote locations where walking in a natural setting is required. Trail conditions may be slippery, steep, uneven, and physically demanding. To fully enjoy the experience, participants must be in good health and possess a fitness level suitable for the specific itinerary. We recommend preparing for your adventure with activities that reflect the physical requirements of the trip.
Medical Questionnaire: A Medical Questionnaire must be completed prior to departure. During the booking process, you will be required to declare any pre-existing medical conditions. If you have a medical condition, you must complete the questionnaire at the time of booking and obtain consent from your regular doctor to participate in the tour.
Right to Refuse Participation: Unearth Adventure reserves the right to refuse participation if any pertinent medical or fitness information is falsified, omitted, or if it is determined that participation would adversely impact the tour program or the enjoyment of fellow travellers. In such cases, Unearth Adventure will not be held financially liable for any costs, fees, or losses incurred as a result of the refusal, including but not limited to unused trip components, cancellation fees, or additional expenses incurred by the affected participant.
Medical Emergencies: In the event of a medical emergency during the tour, you agree that your tour leader may share your medical details with healthcare professionals as necessary to facilitate treatment. Your consent to this disclosure is a condition of participation.
By booking with Unearth Adventure, you acknowledge your responsibility to ensure you meet the health and fitness requirements for the selected tour. This ensures the safety and enjoyment of yourself and the group.
TRAVEL INSURANCE AND CLAIMS
To protect yourself and your travel investment, we require all participants to have comprehensive travel insurance. Please read the following carefully:
Mandatory Travel Insurance: It is a condition of booking with Unearth Adventure that you obtain and maintain comprehensive travel insurance appropriate for your destination, health, and the activities included in your itinerary. You must provide evidence of your travel insurance policy upon request (upon payment of final invoice).
Coverage Requirements: Your travel insurance must cover all activities and inherent risks associated with the trip, including but not limited to cancellations, medical expenses, emergency evacuation (including helicopter evacuation for remote locations), personal liability, loss of personal belongings, and any other unforeseen circumstances. We strongly recommend seeking professional advice to ensure your policy provides adequate coverage for your specific needs.
Claims Assignment and Cooperation:
If you make a claim against Unearth Adventure, you agree to assign to us or our insurers any rights to take action against third-party suppliers, tour operators, or any other individuals or entities deemed responsible for the issue.
You must fully cooperate with us and our insurers if we choose to enforce the rights assigned to us.
If your claim against us is covered by your travel insurance policy, you agree to pursue the claim through your insurer either alongside or instead of your claim against us.
Reimbursement of Expenses: While Unearth Adventure will assist by providing supporting documentation and reasonable administrative support for claims, the cost of pursuing any claims with your insurer, including any associated expenses, will remain your responsibility.
By booking with Unearth Adventure, you acknowledge your responsibility to secure appropriate travel insurance and understand the conditions outlined above. This ensures both your safety and peace of mind during your adventure.
OUR LIABILITY TO YOU
At Unearth Adventure, we act as agents in arranging your travel and accommodation. By confirming your booking with us, you expressly authorise us to make bookings and enter into contracts on your behalf with third-party suppliers. All bookings and arrangements are subject to the terms and conditions imposed by these suppliers. It is your responsibility to understand and comply with any terms or legal obligations arising from these arrangements.
Limits to Our Liability
If your tour does not materially comply with the description provided in the itinerary or on our website, we may compensate you up to the maximum value of the tour price. Compensation will only be provided where there has been a total failure of consideration for your payment. We will not be liable for failure in the performance or provision of your tour in the following circumstances:
(a) Acts or omissions on your part.
(b) Acts or omissions of any third party not connected with your travel arrangements.
(c) Extraordinary or unavoidable circumstances as defined in Section 7.

The acts, omissions, or defaults of any of the aforementioned parties, whether negligent or otherwise.

ACCEPTANCE OF RISK
All Unearth Adventure tours are accompanied by an experienced tour leader or escort, and local guides may assist with specific aspects of the tour. While our team is dedicated to supporting each traveller’s welfare, we cannot guarantee the health, safety, or personal security of participants. You are responsible for exercising care for your own wellbeing and the wellbeing of others in the group at all times.
Travel inherently involves risks, and Unearth Adventure itineraries often include destinations where accommodation, transport, safety conditions, medical facilities, and general comfort may differ significantly from what is expected in more developed regions. These destinations may be adventurous and “off the beaten track,” presenting additional personal risks.
You acknowledge that certain activities, such as walking in natural settings, may carry additional dangers and risks, including but not limited to:
Physical exertion beyond your usual level of fitness or preparation.
Exposure to sudden and unpredictable weather conditions.
Hazards from local flora and fauna.
Risk of illness, disease, or exacerbation of pre-existing medical conditions.
Limited access to medical facilities, sub-standard medical services, and evacuation challenges.
By booking with Unearth Adventure, you acknowledge and accept the inherent risks of participating in our tours. These risks may include, without limitation:
Physical injury or death.
Psychological trauma.
Illness or disease.
Loss or damage to personal property.
Delays, inconvenience, or discomfort.
You assume full responsibility for these risks and release Unearth Adventure from any and all losses, costs, damages, expenses, claims, or actions arising from them, except where such loss or damage is caused by gross negligence or wilful misconduct on our part.
RESPONSIBLE TOURISM PRACTICES
All travellers participating in Unearth Adventure tours are required to adhere to our Responsible Tourism Operations policy throughout their journey. By joining our tours, you agree to and acknowledge the following:
Respect Local Cultures and Customs
Behave respectfully towards local communities, including following appropriate cultural norms, dress codes, and customs. Any activities that may exploit or negatively impact local traditions or livelihoods are to be avoided.
Respect Wildlife and Habitats
All wildlife interactions and viewing opportunities will be conducted in a safe and respectful manner that minimises disturbance to animals and their habitats.
The observations and viewing of all wildlife will be conducted from a safe and respectful distance. All actions that could disturb, stress or harm animals, hinder natural behaviour or their habitats are to be avoided. This includes refraining from feeding, touching, handling or pursuing wildlife in any way, unless otherwise allowed.
Travellers are expected to avoid any actions that could degrade the environment, such as littering, noise pollution, or disturbing natural habitats.
Follow Guide Instructions
Comply with all instructions provided by Unearth Adventure representatives and local partners regarding wildlife viewing and interactions. Our guides and trip leads are trained to ensure that activities remain ethical and non-intrusive, and your cooperation is essential to maintaining these standards..
Compliance with Standards and Environmental Responsibility
Unearth Adventure adheres to internationally recognised guidelines, including those established by the International Union for Conservation of Nature (IUCN), the World Animal Protection, Global Sustainable Tourism Council (GSTC) and other relevant authorities.
Local laws, regulations, and guidelines concerning wildlife viewing and conservation will be strictly observed in all destinations.
Respect and uphold any conservation or regulatory measures in place within the destination, including observing restricted areas or species-specific guidelines aimed at protecting endangered wildlife.
Avoid leaving any waste or litter during excursions and minimise your ecological footprint by adhering to Leave No Trace principles.
Conservation Contributions
A small portion of the costs from certain nature and wildlife-focused tours will be directed to conservation initiatives, ecological and scientific research or local organisations dedicated to protecting and preserving biodiversity.
Sustainable Alternative Livelihoods
At Unearth Adventure, we recognise the vital connection between community wellbeing and environmental sustainability. Our itineraries strive to engage and support sustainable alternative livelihood development. This approach aims to improve the living conditions of the communities we engage with, while promoting the sustainable use of natural resources. By fostering economic opportunities that prioritise conservation and responsible practices, we seek to contribute to a positive impact for both people and the planet.
By participating in Unearth Adventure’s adventure tours and bespoke itineraries, travellers acknowledge the importance of preserving the world’s natural heritage and commit to upholding these principles as part of a shared effort to protect and conserve biodiversity within the destinations visited. Non-compliance with these terms and practices may result in exclusion from certain activities or tours or other remedial actions deemed necessary by Unearth Adventure to ensure the safety of wildlife and the integrity of our operations.
SMOKING AND VAPING
Unearth Adventure enforces a strict no-smoking and no-vaping policy on all private transport used during our tours. Frequent stops are scheduled to allow for breaks, during which smoking or vaping may be permitted in designated areas where local regulations allow. Most accommodations we partner with also maintain a non-smoking and no-vaping policy.
Inversely, smoking and vaping regulations in destination countries may differ from those in your home country. While we encourage all guests to respect the comfort and wellbeing of fellow travellers, there may be instances where members of the public smoke or vape in settings that do not align with the standards or expectations of your country of origin. We appreciate your understanding in adapting to local customs and conditions during your journey.
SEATBELTS
For your safety, it is mandatory that you wear a seatbelt at all times while travelling in any vehicle provided as part of your tour. Failure to comply with this requirement may result in serious injury or death in the event of an accident. Neither Unearth Adventure nor any local transport operator will be liable for any injury, death, or claim arising from an accident if you have failed to adhere to this requirement. Your compliance is essential for your protection and the safety of others.
LUGGAGE
Weight restrictions apply to both flights and ground transportation. You are permitted one piece of standard-sized checked baggage. Specific size and weight limitations will be provided in your pre-departure information. For day-to-day activities, we recommend bringing a small daypack to carry essentials during walks, boat rides, jeep safaris and other outings.
To assist with overland travel, we strongly encourage the use of flexible luggage such as backpacks, duffel bags, or rucksacks instead of traditional hard-shell suitcases, as this makes handling and storage easier.
For a detailed list of recommended items and packing tips tailored to your tour, please refer to the packing list provided in your pre-departure materials.
CUSTOMER FEEDBACK AND COMPLAINTS
At Unearth Adventure, we are dedicated to maintaining our reputation for delivering high-quality travel experiences. We highly value customer feedback and view complaints as opportunities to improve our products, services, and overall customer experience.
While we aim to ensure a seamless journey, unforeseen issues may occasionally arise. If you encounter any problems during your tour, we encourage you to notify your tour leader immediately so that we can address them promptly. Please note that Unearth Adventure cannot accept liability for complaints raised after the completion of your tour if they were not reported during your trip.
Should you feel that your concerns were not adequately resolved by your Tour Leader, we request that you submit a formal written complaint to Unearth Adventure within 30 days of the conclusion of your tour.
You can also request a copy of our complaints policy by emailing info@unearthadventure.com.
DATA PROTECTION
At Unearth Adventure, safeguarding your personal information is a priority. We handle your data in accordance with our Privacy Notice, which is available on our website.
To ensure seamless travel arrangements and facilitate your booking, we may share relevant personal information with suppliers involved in your itinerary, such as accommodation providers and transport operators.
